About the Role
The Sales Coordinator at IGSS will play a pivotal role in supporting the sales teams across Bravo Fine Foods Limited, Bravo Culinary Solutions Limited, Beyond Plastic and HQF, ensuring seamless coordination between clients, internal teams and supply chain stakeholders.
This position requires exceptional organisational skills, a customer-centric approach, and a deep understanding of the food supply chain (including cold chain logistics, food safety compliance and farm-to-table transparency).
The essential functions of this position are detailed below, and they may change as the needs of the company demand.
- Prepare and process sales orders, invoices and quotations in alignment with company policies and client requirements.
- Coordinate with logistics, procurement and warehouse team to ensure timely order fulfilment and resolve delivery discrepancies.
- Assist in the development of sales presentations, proposals and marketing collateral tailored to food supply chain solutions.
- Gather client feedback on product quality, cold chain integrity and service delivery to inform continuous improvement.
- Manage certification documentation for clients and maintain records for audits.
- Collaborate with QA team to address non-conformities or product returns.
- Support the sales team in identifying cross-selling opportunities across Bravo Fine Foods, Bravo Culinary Solutions, Beyond Plastic and HQF product lines.
- Liaise with marketing to align campaigns with sales objectives (e.g. promoting traceability solutions or sustainable sourcing).
- Organize and maintain the master price list, distributes updates to internal teams and clients upon management approval.
- Process invoices, credit notes, and payment reconciliations in collaboration with the finance department.
- Assist in planning sales events, trade shows, and customer appreciation initiatives.
- Assist with ad-hoc reporting or projects as needed.
Requirements
We are looking for someone who is/has:
Education:
Diploma holder or above in Business Administration, Sales, Supply Chain Management, Food
Science, or related field.
Experience:
Min. 2 years in sales coordination, customer service, or logistics, preferably in the food industry
(FMCG, perishables, or food tech). Familiarity with cold chain logistics, food safety standards, and ERP/CRM tools.
Skills:
o Strong teamwork and problem-solving skills
o Excellent communication and interpersonal abilities
o Meticulous, independent, sales & customer-oriented
o Self-motivate and strong sense of responsibility
o Hands-on experience in CSM or similar software is a plus
o Literacy in PC applications
o Able to meet deadline and work under a fast-changing environment
o Excellent command of English and Chinese (both spoken and written)
o Immediate available is highly preferred
